How to add an email signature in Roundcube webmail

An email signature is a block of text (and optionally links or images) that gets added to the bottom of your outgoing emails automatically. This guide shows you how to set one up in Roundcube, the webmail client that comes with cPanel/Plesk hosting.

Note: A signature you set in Roundcube only applies to emails sent from webmail. If you also send from Outlook, Apple Mail, Thunderbird or your phone, you’ll need to set the signature up in each of those apps too.

Before you start

You’ll need the email address and password for the mailbox you want to add the signature to.

Step 1: Log in to webmail

  1. Go to https://yourdomain.com/webmail (use your own domain), or open webmail from the Email Accounts page in cPanel.
  2. Log in with your full email address and its password.

Step 2: Add your signature

  1. Click Settings in the left-hand menu.
  2. Click Identities.
  3. Click the identity (email address) you want to add a signature to.
  4. Scroll down to the Signature box and type your signature.
  5. If you want formatting like bold text, colors, links or a logo, click the HTML toggle/icon above the signature box to switch on the rich text editor (see “Adding images and formatting” below).
  6. Click Save.

Tip: If you send from more than one address (an alias, for example), each identity has its own signature. Repeat these steps for each identity.

Step 3: Choose when your signature is added

By default Roundcube adds your signature to new messages, but you can change this:

  1. Go to Settings > Preferences > Composing Messages.
  2. Under Signature options, set Automatically add signature to one of these:
    • always
    • new message only
    • replies and forwards only
    • never (you add it by hand with the Signature button when writing an email)
  3. You can also change these settings:
    • Place signature below the quoted message: puts your signature at the bottom of a reply instead of straight under what you’ve typed.
    • When replying remove original signature from message: stops the sender’s signature piling up in long email threads.
    • Force standard separator in signatures: adds the standard -- line above your signature.
  4. Click Save.

Adding images and formatting

With the HTML editor turned on, you can use the toolbar to add bold or italic text, colors, links and images.

To add a logo:

  1. Upload the image to your website first (in cPanel File Manager, for example, put it at public_html/images/logo.png).
  2. In the signature editor, click the Insert/edit image button.
  3. Enter the image’s full public URL, for example https://yourdomain.com/images/logo.png.
  4. Set a sensible size (around 200px wide or less is usually fine) and click Save.

Important: Don’t paste images straight into the signature box. Pasted images often get stripped out or turn into attachments. Linking to an image hosted on your website is the most reliable way to do it.

Troubleshooting

  • My signature isn’t showing up: check Automatically add signature isn’t set to never, and make sure you’re sending from the identity you added the signature to.
  • My logo shows as a broken image: open the image URL in a browser to check it loads. It needs to be public and served over HTTPS. Some recipients’ email apps block images until they choose to show them, which is normal.
  • My signature looks different in Outlook or on my phone: those apps don’t use your webmail signature. Set it up separately in each app.
